    Contract Compliance Analyst

The Contract Compliance Analyst maintains the integrity and accuracy of procurement data within the data  management system. This role manages the contract negotiation and renewal process for the Procurement department by assisting with the daily administration of contracts including but not limited to, negotiation of agreements, contract setup and closeout, contract modifications and maintenance of contract records. Additionally, this role facilitates resolving contract issues with business, compliance, legal, external counsel and contracting parties, as necessary.

    Responsibilities:
     
    • Obtains and maintains client, vendor, and distributor data in contract management system
    • Maintains and files contractual records and documentation such as contract correspondences, nutritionals, contractual changes, status reports and other documents
    • Serves as the point of contact on all contractual matters for assigned clients and acts as the liaison between in internal departments and external vendors ensuring timely review and approval/reconciliation of variations
    • May be called upon from time to time to provide organizational and administrative support to other teams
    • Communicates opportunities for process improvements to increase data integrity, efficiency, accuracy and client, supplier, and distributor satisfaction
    • Ability to negotiate all elements of cost including FOB contract, freight rates and landed cost
    • Develops and implements procedures for contract management and administration in compliance with company policy (Including training Buyers, Project Managers and other employees internal and external.)
    • Researches and resolves on-going contract issues and change management issues
    • Ensures that contracts are communicated to all relevant parties to provide contract visibility and awareness, interpretation to support implementation
    • Communicate revenue fees with supporting documentation to Finance
    • Provides information to Logistics department to evaluate freight opportunities
    • Ensure that signed contracts are coordinated and communicated to all relevant parties, including Procurement team, to provide contract visibility and awareness, interpretation to support implementation
    • Works on other contract, procurement and/or vendor related activities as needed
    • Communicates closely with Information Technology on the development, maintenance and utilization of standardized reports compliance and risk management outcomes
    • Provides suggestions and recommendations for functionality, revision and upgrade of relevant technology systems
    • Proactively leads process improvements or other projects that enhance and streamline processes, systems, tools and other resources
    • Represents the company professionally in alignment with the Mission, Vision and Values
    • Additional duties as assigned

    Qualifications:

    • Years of Experience in Field/Career: 7
    • Must understand the supply chain industry, with a minimum of 2 years’ experience in one of the following categories: purchasing, distribution and logistics or foodservice contract management
    • Experience with data management systems
    • Restaurant operations a plus
    • Excellent communication skills with the desire and ability to create a team environment among all internal and external stakeholders
    • Must have a bias for action. Self-motivation and a desire to perform quickly and accurately is a must for this position
    • Excellent organizational skills, including attention to precise details and accuracy
    • Data analysis capabilities must be solid and applicable to the supply chain industry
    • Knowledge of the legal terminology and language requirements for supplier and/or vendor agreements and contracts required
    • Strong personal interaction and conflict management behaviors
    • Service oriented for internal and external customers

    The Senior Manager, Procurement is responsible for the procurement of ~$200 million in spend of commodity based items including Dairy, Oils and Grains and further processed products in utilizing these commodity items for SD clients. This person will be required to understand how to determine supplier capabilities and capacity with a clear understanding of the upstream and downstream impact on the overall customer(s) experience. The Senior Manager, Procurement must create and maintain strong relationships with suppliers, distributors, internal constituents / Client Solutions and customers. The Senior Manager is involved in all aspects of sourcing requiring the skills necessary to identify cost saving opportunities, create and execute RFP’s in accordance with the RFP Calendar, create competitive environments, creatively negotiate, generate contracts and manage delivery of optimal solutions. The Senior Manager is required to review purchasing data and must have the skills to identify cost-cutting opportunities and cost containment opportunities.     DUTIES & RESPONSIBILITIES
    • Negotiates with vendors on booking raw materials of Dairy, Oils, Grains and further processed products utilizing these commodity items
    • Maintains commodity tracker to assist Client Solutions in reporting current status of commodity bookings
    • Report on Commodity trends and forecasts risk in related fields to present strategies on hedging and contracts to clients
    • Creates and continuously maintains updated Category Strategy plan with all elements of a short and long term strategy for categories under management
    • Analyzes and interprets data in coordination with the Supply Chain Analyst via the contract management system and business intelligence tools
    • Maintains accountability for work status within assigned projects, targeting project completion dates aligned with required deadlines and time commitments
    • Responsible for overall RFP and contract management within assigned categories
    • Seeks opportunity to “pool” volumes among customers/ leverage buying power
    • Responsible for processing appropriate customer and supplier required documentation
    • Complies with policies, practices and risk mitigation strategies
    • Monitors supplier/vendor status and performance
    • Responsible for preparing BID packets to be submitted to vendors on behalf of the Supply Management department
    • Ability to negotiate all elements of cost including base ingredients, freight rates and landed cost
    • Identifies vendor opportunities and challenges and partners with internal stakeholders, as appropriate, to ensure desired outcomes, i.e. executed opportunities, resolved challenges.
    • Identifies opportunities to expand contracted items through RFP/bids and increase overall percentage of customer contracts
    • Reports concerns related to defective or unacceptable new goods or services with users, vendors and others to determine cause of the problem and to ensure corrective and preventative action occurs
    • Assists Purchasing and Finance team in reporting of KPI, benchmarking and price forecasting reports Provides guidance and leadership for Procurement Managers
    • Communicates opportunities for process improvements to increase efficiency, accuracy and customer satisfaction
    • Completes assigned monthly contract negotiations and maintenance
    • Ensures assigned Pricing Analysis (PA’s) are completed accurately and provided to Finance team
    • Potential Client Save Analysis-Research and identify save opportunities for potential clients.
    • Represents the company professionally in alignment with the Mission, Vision and Values Additional duties as assigned
    QUALIFICATIONS, EXPERIENCE & KNOWLEDGE EXPERIENCE:
    • Years’ experience in Field/Career: 10
    • 8+ yrs Foodservice Supply Chain experience
    • Retail experience helpful
    • Experience working with restaurant chains, preferably as an employee or supplier
    • Experience interfacing with customers
    • Demonstrated track record managing significant revenue responsibility and or profit/loss center and overachieving targets to meet stretch goals
    SKILLS:
    • Outstanding influencing and negotiation skills required
    • Excellent communication skills with the desire and ability to create a team environment among all internal and external stakeholders
